Event Production & Guest Experience Coordinator

We’re looking for a detail-oriented Event Production & Guest Experience Coordinator to support end-to-end production workflows, event logistics, and guest communications. In this role, you’ll collaborate with internal teams and cross-functional partners to optimize guest interactions and ensure high-quality experiences for every attendee.

What You’ll Do

  • Support Production Workflows – Assist internal leads in planning and executing high-quality events, ensuring smooth logistics and coordination.
  • Guest Engagement – Manage and respond to guest inquiries (online) in a timely, authentic, and professional manner.
  • Optimize Guest Communications – Draft and maintain FAQs, implement best practices, and share insights with stakeholders to improve engagement.
  • Master Internal Tools & Processes – Learn and leverage internal platforms to drive efficient event production and maintain high operational standards.
  • Advocate for Guests – Champion guest experience initiatives, ensuring both internal teams and external attendees have seamless interactions.

What You Bring

  • 4+ years of experience in event production, hospitality, or social media community management.
  • 4+ years in a guest-facing role – You’re comfortable engaging with clients and handling communications professionally.
  • Excellent communication skills – Both written and verbal, with the ability to adapt to different audiences.
  • Fluent in English and French or Italian – A must for engaging with our diverse guest base.
  • Strong organizational & time management skills – You can juggle multiple priorities with ease.
  • Knowledge of creative and production workflows – A bonus if you’ve worked in a production-heavy environment.
  • Familiarity with Salesforce, Airtable, or other CRM/event management tools.
